Roles and Permissions
Every person in a Qiscus Shop account has one role and one store scope. Together they decide what that person can open and what they can change.
The four roles
Role | Who it's for |
|---|---|
Owner | The person who owns the account. There is exactly one per account, and the owner always has access to every store. |
Admin | Trusted staff who need everything the owner can do inside Qiscus Shop, either across the whole account or in specific stores. |
Fulfillment | Staff who process orders. They work on orders and can look at the catalog and customer data, but can't change settings or promotions. |
Marketing | Staff who run the catalog and campaigns. They manage products, promotions, and store settings, and can look at orders without changing them. |
Store scope
Scope is chosen separately from role, so any role can be paired with any of these:
All stores — access to every store in the account, including stores added later.
Specific store(s) — access only to the stores that were picked.
The owner is always set to all stores and can't be narrowed.
One person holds one role, and it works the same way in every store they can reach.
What each role can do
Read the table as:
Full — can open the page and make changes.
View only — can open the page, but can't change anything.
No access — the page is hidden. It doesn't appear in the navigation at all.
Page | Owner | Admin | Fulfillment | Marketing |
|---|---|---|---|---|
Orders | Full | Full | Full | View only |
Products | Full | Full | View only | Full |
Categories | Full | Full | View only | Full |
Delivery | Full | Full | View only | No access |
Customers | Full | Full | View only | View only |
Sessions | View only | View only | View only | View only |
Analytics | View only | View only | View only | View only |
Store Settings | Full | Full | No access | Full |
Message Center | Full | Full | No access | Full |
Promotions (Vouchers and Flash Sale) | Full | Full | No access | Full |
Product Discount | Full | Full | No access | Full |
Integrations | Full | Full | No access | No access |
Payments | Full | Full | No access | No access |
A page a role can't use doesn't appear greyed out — it isn't shown at all. If a colleague describes a menu you can't find, it's usually because your role doesn't include it.
Account-level access
Two things live above the stores rather than inside them:
Profile — open to everyone, whatever their role.
Team — limited to the owner and to admins who have access to all stores.
Creating, activating, deactivating, and deleting a store follows the same line. Everyone else can open the stores they have access to, but can't change the list.
How a role is assigned
Nobody picks a role when they first arrive. Qiscus Shop gives them a starting role based on how they got in.
Most people come from Omnichannel: admins arrive as Owner, supervisors and agents as Fulfillment, all with access to every store. Where an account also has a Qiscus Shop login page of its own, signing in through it starts someone as Marketing, again with access to every store.
These are starting points, not final answers. The owner, or an admin with access to all stores, can raise or lower anyone's role and scope afterwards from Team.
Key Takeaways
Pages a role can't use are hidden, not locked — a missing menu is usually the role, not a bug.
Team and store management are limited to the owner and to admins with access to all stores.
Everyone starts on an automatic role, which can be adjusted afterwards from Team.
